Alternatives
What are the best Keap alternatives for an MSP?
For an MSP leaving Keap, the strongest alternatives are MADDOX for assessment-led selling with recorded calls and coaching, Zomentum for quote-and-proposal-led sales, HubSpot for marketing-led growth, and ConnectWise PSA’s own CRM for keeping everything in one system. Nutshell and Pipedrive suit small teams that want something simpler than Keap.
Keap is a capable platform and plenty of small businesses run very well on it. MSPs tend to look elsewhere for a specific reason: Keap is built for owner-led small businesses in general, and the way an MSP sells — assessments, recurring agreements, a PSA holding the client list, business reviews every quarter — is not what it was designed around.
Keap
What does Keap do well?
Keap combines CRM, marketing automation, email, a sales pipeline, quotes, invoices, payments and text marketing in one platform, aimed at small, owner-led businesses. Its strength is automated follow-up: capturing a lead, nurturing it and taking payment with little manual work.
How Keap is packaged.
Keap, now a Thryv brand, sells one platform plan rather than feature tiers, priced by contact volume. At the time of review the plan included two users, with a monthly charge for each additional user, and an implementation package was required at signup. It includes CRM and automation, email marketing, pipeline management, an appointment scheduler, quotes, invoices, checkout forms and payment processing, with a text-marketing allowance and paid upgrades.
Where it fits an MSP, and where it does not.
Keap fits an MSP that sells small, repeatable packages online, follows up by automated email and text, and takes payment up front. It fits less well where the sale is an assessment and a proposal, where agreements and renewals are tracked in a PSA, and where a team of sellers needs coaching from their calls.
The shortlist
How do the Keap alternatives compare for MSPs?
Each alternative trades something Keap does well for something an MSP needs. MSP-focused tools add PSA connections and managed-services workflows; general CRMs add breadth or simplicity. None of them is a straight like-for-like replacement for Keap’s mix of automation, payments and texting.
| Alternative | Why an MSP moves to it | What you may give up compared with Keap |
|---|---|---|
| MADDOX | Recorded calls and coaching, deal discipline, renewals and QBRs; IT Audit add-on; early-access ConnectWise and Autotask connectors; a Keap migration importer | Payment collection and text-message marketing; MADDOX has neither |
| Zomentum | Proposals, e-signature, payments and distributor feeds built for MSPs; six PSA integrations listed | Keap’s focus on marketing automation and text marketing |
| HubSpot | Broad marketing and sales platform, free tier, large app ecosystem, ConnectWise PSA app listed | Keap’s single all-in plan; HubSpot features are spread across hubs and tiers |
| ConnectWise PSA CRM | Sales and service in one system; opportunities flow into agreements and projects | Marketing automation of the kind Keap is built around |
| Nutshell | Simple CRM with unlimited contacts and published per-user tiers; marketing add-ons | MSP-specific features; proposals and invoices are a paid add-on |
| Pipedrive | A simple, visual pipeline with published per-seat plans | Keap’s all-in-one mix of automation, payments and texting |
MADDOX
Why would an MSP move from Keap to MADDOX?
Because the MSP has grown into a sales team. When there are people on the phone to coach, assessments to turn into proposals, agreements to renew and business reviews to run, MADDOX puts that work on one record, and its Keap migration importer brings contacts and call history across with reps mapped by a person first.
What changes when you move.
Calls stop disappearing: they are recorded, transcribed and searchable, and coaching and recorded one-to-ones are built on them. Deals carry stage exit criteria and tracked objections. Renewals run as a pipeline with a monthly recurring revenue view, and a QBR builder prepares the review. Campaigns run as journeys, and MSP packs such as Break-Fix to Managed Services install as drafts that send nothing until you launch them.
MADDOX ships with 200+ capabilities, all on by default. The IT Audit add-on, switched off until you enable it, covers assessments.
What MADDOX does not do that Keap does.
Be clear on this before you move. MADDOX does not collect payments or send invoices to be paid online, and it does not provide text-message marketing as a service: email is the channel it operates for you. There are no native mobile apps. If payments and texting are central to how you sell, Keap may still be the better fit, or you will need another tool for those jobs.
Deliverability after the move.
Moving email platforms is when sender reputation is most at risk. MADDOX’s deliverability tooling covers sender domains, authentication setup, reputation monitoring and bounce and complaint rollups, so you can set up and watch your sending domain before the first campaign goes out.
Migration
How do you migrate from Keap to another CRM?
Export your contacts, companies, tags, pipeline and history; decide what is worth keeping; map Keap fields and users to the new system; run a test import; check a sample of records by hand; then cut over and rebuild automations deliberately rather than copying them blindly.
A migration checklist that works for any CRM.
Most of the work in a migration is deciding, not moving. These steps keep a Keap migration from carrying old mess into a new system.
- Clean before you export. Merge duplicates and archive dead contacts in Keap first.
- Decide what history matters. Notes, emails, calls and deals all migrate differently; know which you need.
- Map users carefully. Activity history attributed to the wrong rep corrupts every report afterwards.
- Test with a sample. Import a few hundred records, check them by hand, then run the full import.
- Rebuild automations, do not copy them. A move is a chance to drop sequences nobody remembers writing.
- Warm up email sending. Authenticate the new sending domain before the first campaign.
How the MADDOX importer handles it.
MADDOX has a Keap and Infusionsoft migration importer. Rep mapping must be confirmed by a person before an import starts, so history is not attributed to the wrong user. Historical calls from Keap’s TurboDial can come across as real call logs with their audio, so call history survives the move rather than being left behind.
The honest answer
When should an MSP stay on Keap?
Stay on Keap if your MSP sells small, standard packages online, relies on automated email and text follow-up, takes payment up front, and has no sales team to coach. In that model Keap’s all-in-one plan covers the work, and an MSP-focused CRM would add structure you do not need.
Signs it is time to move.
These are the points at which MSPs usually start looking.
- You have hired your first dedicated salesperson and want to coach them.
- Agreements and renewals live in your PSA and the CRM cannot see them.
- You sell on assessments and the proposal is rebuilt by hand every time.
- Business reviews are prepared from scratch the night before.
Before you leave
What should an MSP check before leaving Keap?
Inventory everything Keap does for you today, not just the CRM: automations, forms, payment flows, invoices, text messages and the integrations hanging off it. Then decide, item by item, whether the new CRM replaces it, another tool takes it over, or you stop doing it. Surprises come from the jobs nobody listed.
An inventory worth an afternoon.
Walk through Keap with whoever set it up and write each of these down. It is the single most useful document in a migration.
- Automations: every active sequence, what triggers it, and whether anyone would miss it.
- Forms and landing pages: where each one lives on your website and what it feeds.
- Payments and invoices: which clients pay through Keap, and how that will work afterwards.
- Text messages: which follow-ups rely on texting, since not every CRM sends them.
- Integrations: Zapier recipes, accounting links and anything else connected to Keap.
- Contract terms: your renewal date and notice period, so you are not paying for two systems for long.
Where MADDOX picks these up.
MADDOX covers contacts, deals, email campaigns and journeys, forms and landing pages, and call history through the importer. Payments and text-message marketing are the two items on that list it does not take over, so plan another home for them before you switch if you rely on them.

Questions
The things people actually ask.
Is Keap good for MSPs?
Keap suits MSPs that sell small, standard packages with automated follow-up and online payment. It is built for owner-led small businesses in general rather than managed services, so it has no PSA-centred workflow, assessments or business-review tooling.
Can I migrate from Keap to MADDOX?
Yes. MADDOX has a Keap and Infusionsoft migration importer. Rep mapping is confirmed by a person before import starts, and historical TurboDial calls can come across as call logs with their audio.
Does MADDOX take payments like Keap?
No. MADDOX does not collect payments. If online payment is central to how you sell, keep a payments tool alongside it or consider whether Keap or Zomentum fits better.
Does MADDOX do text-message marketing?
No. Email is the channel MADDOX operates for you. If texting is central to your follow-up, that is a reason to stay on Keap or choose a tool that includes it.
